All application data reflects HR appointments and award information as of April 17, 2020 (Spring Semester), May 29, 2020 (Summer), June 12 (Summer2), June 26 (Summer3), July 10 (Summer4), July 24 (Summer5), Aug 07 (Summer6), Aug 21 (Summer7) and Sept 4 (Summer8). The application does not receive or send new information from/to the HR Transaction or Grant Accounting Office systems.

Application Feature Enhancements – 09/08/20
  • A new documentation period for 08/24/2020 – 09/06/2020 is now available in the Summer section.
  • Grant and appointment data have now been added into the application as of September 04, 2020 in the Summer(8) section. Previous Spring Semester and Summer data remains in the system and prior time periods can still be reported and edited.

Application Feature Enhancements – 06/30/20
  • A new documentation period for 6/15/2020 – 6/28/2020 is now available in the Summer section.
  • Grant and appointment data have now been added into the application as of June 26, 2020 in the Summer(3) section. Previous Spring Semester and Summer data remains in the system and prior time periods can still be reported and edited.
Application Feature Enhancements – 06/16/20
  • A new documentation period for 6/01/2020 – 6/14/2020 is now available in the Summer section.
  • Grant and appointment data have now been added into the application as of June 12, 2020 in the Summer(2) section. Previous Spring Semester and Summer data remains in the system and prior time periods can still be reported and edited.
  • The “Click here to start>>” button on the homepage will navigate to the most recent documentation period. Users can navigate to prior reporting periods using the top menu and click Spring Semester or choose from multiple Summer sections via dropdown menu (image above).
  • The “Copy Last Reporting Period Documentation” for previously existing grants in the Summer section will roll answers forward from the most recently created documenting period. Administrators will still need to edit/complete answers for any faculty/staff that have new or modified appointments on the corresponding reporting grant for Summer.
Application Feature Enhancements – 06/08/20
  • Discrete sections for documenting research personnel on grants from the Spring Semester and the Summer are now active. After logging in, users will automatically be routed to the Summer section. Users can navigate freely between both sections using the links in the top-most menu.
  • Grant and appointment data have now been added into the application as of May 29, 2020 in the Summer section. Previous Spring Semester data remains in the system and prior time periods can still be reported and edited.
  • The “Copy Last Reporting Period Documentation” for previously existing grants in the Spring Semester will roll answers forward from the most recently created documenting period. Administrators will still need to edit/complete answers for any faculty/staff that have new or modified appointments on the corresponding reporting grant for Summer.
  • A new documentation period for 5/17/2020 – 5/31/2020 is now available in the Summer section.
  • When viewing an individual while creating or editing in the Reporting Period Documentation screen, the “Home Org/Dept” of the employee and the full MFK for which the employee is paid will be listed for easier identification by administrators.
  • Additional employee and grant information has been included with the Excel “Download” button/tool.
Application Feature Enhancements – 05/29/20
  • The “application idle-timeout” has been increased to 90 minutes. Users will be prompted to login again via HawkID if they perform no action for 90 minutes. Any unsaved changes may be lost after an idle-timeout occurs.
  • Buttons used to Create and Save records have had their locations and labels standardized.
  • Individual employee documentation now has an optional “Verified” checkbox – allowing administrators to specifically certify that the answers submitted for an individual’s time period are accurate. This feature may be helpful for those grants that cross multiple orgs or departments, where more than one admin is entering information for a grant. This is an optional feature that may be used if an administrator finds it helpful – it is not required for period documentation.
